Inputs for a useful supplier conversation

Part and assembly role
Identify whether the request covers structural members, mounting plates, an enclosure, guarding or a complete assembly. Provide the assembly relationship, not only a stock-material description.
Controlled interfaces
Mark mounting holes, reference faces, thread details and mating dimensions. State whether the supplied part must match an existing item or a new design.
Service requirements
Provide the design owner's load, vibration, temperature and environment requirements. This page does not select allowable loads or approve guarding arrangements.
Fabrication sequence
Describe cutting, machining, joining and finish requirements. Ask who controls subcontracted work and who inspects the finished part.
Acceptance and replacement

Packing and handover
Identify handling limits, surface protection, assembly instructions and inspection documents required at receipt.

Three comparison traps

  • Stock-material price presented as finished-part cost

    Separate material, cutting, machining, finishing and inspection. Confirm any operations excluded from the offer before comparing totals.

  • Unapproved interface changes

    An apparently minor slot, thread or surface change may affect the assembly. Require the design owner's acceptance of proposed alternatives.

  • Unclear assembly responsibility

    If several suppliers contribute, state who owns dimensional coordination, final inspection and the handling of rejected components.
